What should I do if more people sign up for my Live webinar than my software allows?
Great problem to have! First, don’t panic. The reality is that only about 25% of your webinar registrants will actually show up Live, so you can use that percentage as a guide when selecting your webinar software and plan. For example, if you expect 1,000 people to register, you’ll likely have around 250 attending Live.
If you're using Demio, the webinar platform I recommend in Digital Course Academy, here’s how it works: If your Live attendance exceeds your seat limit, seats will be filled on a first-come-first-serve basis. Once the room hits capacity, anyone who tries to join after that will see a screen letting them know it’s full, and they’ll be placed in a waiting queue. As soon as someone leaves the webinar, the next person in line is allowed in automatically.
If you're seeing higher-than-expected attendance and want to avoid this issue altogether, you can upgrade your subscription plan mid-webinar, and it will take effect right away. That means people waiting in the queue will be able to enter in real time without missing the action.
So bottom line: use the 25% show-up rate to plan ahead, and if you hit your cap, let your software manage the overflow or upgrade if needed. Either way, it’s a great sign that your audience is engaged and excited about what you’re teaching.
